JOB SUMMARY: Provides support to Business Manager in day to day activities of assigned properties.



Education: Associate degree or commensurate course work with emphasis in Business, Marketing, Communications or similar discipline preferred.

Experience: Two years of administrative experience.

Skills: Strong computer skills including Adobe Acrobat, Microsoft Office – Word, Excel, and PowerPoint; excellent organizational, communication and interpersonal skills are essential; creative and project-oriented. Able to demonstrate language, math and reasoning skills consistent with those in similar level positions.

Requirements: Has a valid driver's license and reliable personal transportation means available. Occasional local travel is required.

 Tenant/Vendor-Related Activities
    o Awareness and understanding of all assigned properties
    o Assist in the coordination of day-to-day maintenance issues for Regency properties; including filtering calls, vendor selection,         scheduling, creating work orders, and vendor/tenant follow-ups
    o Receiving and processing, for payment, vendor invoices for properties
    o Facilitate tenant collections including calls, letters, and defaults
    o Assists in managing customer calls regarding any Property Management issues at properties
    o Maintains Microsoft CRM database of tenants, store addresses and legal notification addresses
    o Maintains Microsoft CRM database of vendors for all properties
    o Maintains up-to-date tenant and vendor insurance certificates
 Administrative Support
    o Maintains Property Management's portion of CRM by updating all PM files
    o Maintains electronic filing system
    o Orders and coordinates all property items as requested by Business Managers or Maintenance Technicians (benches, trash               cans, office supplies, etc.)
    o Tracks all open work orders for month end reports
    o Maintains all utility files on all properties (both accounts being handled by third party and accounts being handled in-house);           including transferring utilities and approving invoices, as necessary
    o Monitors utility web site, utility accounts, meters, etc.
    o Updates and aids in preparation of annual operating expense budgets for assigned properties
    o Assist Business Manager in maintaining a 10 year capital budget
    o Provides support to Maintenance Technicians with CRM portal
    o Typing, faxing, proofing, mailing, distributing, copying, binding documents, and filing
 Performs other duties, as assigned.
