JOB SUMMARY: Acts as primary clerical and administrative support for the Marketing and Leasing departments.

EMPLOYEES SUPERVISED: None

SPECIFICATIONS:

Education: Minimum high school diploma. Knowledge of business acquired by an Associate's degree or commensurate course work desired.

Experience: Minimum two years office experience with knowledge of office procedures and environments.

Skills: Intermediate to strong skills in Microsoft Word and Excel, and good organizational skills. Consistently able to portray a friendly, positive attitude in personal and telephone conversations with tenants and vendors. Able to demonstrate language, math, and reasoning skills consistent with those in similar level positions. Able to handle highly confidential matters using good judgment and diplomacy. Ability to work independently, be resourceful, problem solve and bring projects to closure with minimal guidance. Other attributes include a very high level of professionalism, attention to detail and a willingness to contribute to achieve organizational success.

Requirements:

1. Has or can obtain an Indiana Notary Public certification.

2. Has a valid driver's license and reliable personal transportation means available. Occasional local travel is required.

DUTIES AND RESPONSIBILITIES:
1. Maintains and updates reports and spreadsheets used by Marketing and Leasing department on a regular basis. Automate marketing reports needed for Leasing.
2. Maintains Marketing and Leasing Procedure Manuals.
3. Monitors lease expiration and renewal information, and provide reports and details to Leasing Representatives. Prepares renewal notices and expiration letters.
4. Prepares and distributes reports and documents, prepare drafts, edits and formatting for letters and documents, route correspondence, gathers material for internal publication and presentations. Route documents in SignNow for approvals.
5. Processes Marketing and Leasing departmental invoices to the Accounting department.
6. Prepares mailings, overnight packages and certified mail, to include Marketing/Leasing mailings as needed for properties. Creates spreadsheets for prospects to be used in mailings.
7. Assists with signage for vacancies inclusive of mailing out new signs and tracking inventory.
8. Assists in setting up new properties on departmental systems including Dropbox, VTS, and Skyline.
9. Updates property information in VTS when spaces become vacant or get leased. Update Master Book information into Dropbox on a monthly basis
10. Maintains and updates Retail Inventory information provided by Leasing Representatives.
11. Assists Coordinators of Leasing in completing checklist items for new leases, lease renewals, least terminations, lease assignments, and other departmental paperwork.
12. Maintains up-to-date marketing information on properties. Assists in preparation of various marketing materials including marketing maps, brochures, and demographics for the marketing/leasing of properties.
13. Assists Coordinators of Leasing with organizing documents for the Annual Asset Strategy. Creates property maps and retail inventory maps, and formats required documents for all properties.
14. Provides administrative support as needed.
15. Performs other duties and special projects as assigned.
