DEPARTMENT: Leasing

SUPERVISOR: Director ofLeasing

JOB SUMMARY: Maintains and drives the flow of all legal documents for the Leasing Department, insuring accuracy at every step of the process. Provides clerical and administrative support for Leasing, as detailed below.

EMPLOYEES SUPERVISED: None

SPECIFICATIONS:
Education: Bachelor's degree; or equivalent combination of education and experience.

Experience: Three to five years' experience with knowledge of basic office procedures. Knowledge of commercial leases or paralegal experience a plus, but not required.

Skills: Skillful in Microsoft Word and Excel. Detail oriented with strong organizational and communication skills. Ability to compose professional correspondence and manage a variety of work assignments. Ability to multitask with a variety of projects, a self-starter who can function without continuous direct supervision. Able to demonstrate language, math and reasoning skills consistent with those in similar level positions.

Requirements:

1. Has or will obtain an Indiana Notary Public certification.

2. Has a valid driver's license and reliable personal transportation means available. Occasional travel is required.

DUTIES AND RESPONSIBILITIES:
1. Drives and manages the flow of paperwork on each lease deal – LOI to final lease, insuring accuracy at all stages of the process.
2. Lease documents:
     a. Follows Lease Preparation Procedures for new lease preparation.
     b. Reviews tenant leases not utilizing Regency's standard lease, insuring it conforms to Regency's lease.
     c. Prepares documents needed for extensions, amendments, modifications, assignments, etc.
     d. Maintains a database of acceptable lease changes approved by management.
     e. Monitors leasing documents against Regency's Lease Guidance and keeps Vice President of Development and Leasing and Director of Leasing informed of changes.
3. VTS
     a. Enters new information.
     b. Works to improve work flow within the system for the leasing department.
4. MISCELLANEOUS:
     a. Works with attorneys to provide information pertinent to work they are providing for Regency.
     b. Tracks lease expirations & sends month-to-month letters to tenants whose leases have expired.
     c. Sends out legal notices to tenants, as needed (i.e. landlord address change, etc.).
     d. Works to automate the reports needed for leasing and from leasing.
     e. Prepare and maintain information for Leasing commission payments
     f. Constantly strives to perfect the flow of documents, leasing processes and agents' efficiencies.
     g. Coordinates, drives and tracks the execution of the leasing department's strategies.
     h. Works on special projects and performs executive assistant duties for the Director of Leasing.
